Terms & Conditions

When booking a trek with Nature Heaven Treks and Expedition, a standard advance deposit of around 20% to 25% is required to confirm your reservation. This non-refundable deposit is used to secure essential arrangements such as trekking permits, accommodations, and logistics in advance.

The remaining balance is typically payable upon arrival in Kathmandu before the trek begins, either in cash or via accepted card payment. These terms are standard practice across reputable trekking agencies in Nepal and help ensure smooth trip preparation and confirmed services for your Himalayan journey with Nature Heaven Treks and Expedition.

The following standard clauses are universally applied across reputable trekking agencies in Nepal:

Booking & Payment

Advance Deposit: A 20–25% deposit per person is required to confirm your trekking reservation and initiate the process for permits and national park fees.

Balance Payment: The remaining 75–80% is typically payable upon arrival in Kathmandu, before the trek officially begins.

Payment Methods: Nature Heaven Treks accept bank transfers, Visa and Mastercard (often with a 3.5%–4% processing fee), as well as major foreign currencies in cash for convenience.

Cancellation & Refunds

Because trekking agencies pre-book non-refundable services such as domestic flights, guides, and accommodations in advance, cancellation policies in Nepal are generally time-sensitive and strictly applied.

30+ Days Before Departure: Usually eligible for a full refund, minus a small administrative or processing fee

15 to 29 Days Before Departure: Typically results in a cancellation charge of around 10% to 20% of the total trip cost.

Less than 15 Days Before Departure: Most bookings are non-refundable, with 45% to 50% of the total cost being forfeited depending on the services already confirmed.

Travel Insurance

Mandatory Coverage: All trekkers are required to have comprehensive travel insurance that includes medical emergencies, high-altitude trekking, helicopter evacuation, and repatriation.

Emergency Costs: In the event of an evacuation, clients may be required to cover costs upfront if their insurance provider does not offer direct settlement with the service provider or trekking agency.

Passport & Visas

Validity: Your passport must be valid for at least 6 months beyond your intended departure date from Nepal.

Documentation: Travelers are generally required to submit scanned copies of their passport along with passport-sized photographs in advance to allow the agency to process necessary permits and travel arrangements.

Delays, Itinerary Changes & Risk

Weather Contingencies: In Nepal’s mountainous regions such as Everest and Annapurna, unpredictable weather conditions can lead to domestic flight delays or cancellations. Any additional costs for accommodation, meals, or logistics arising from such delays are typically the responsibility of the client.

Itinerary Modifications: Trekking guides and agencies reserve the right to adjust, shorten, or modify itineraries when necessary for safety reasons, including adverse weather conditions, health concerns, or other unforeseen risks in the Himalayas.

Health & Fitness

Clients are required to confirm that they are in good physical condition and do not have any medical issues that could pose a risk to themselves or others during the trek. Upon arrival, participants may also be asked to sign a liability waiver acknowledging the inherent risks associated with trekking in the Himalayas.
